How to: Defend Your Dissertation (like a Superstar) in 10 Easy Steps

Of all the academic things I turned out to be good at, defending my dissertation is perhaps the most surprising. I was not awesome (to put it mildly) at the oral defence portion of my comprehensive exams, and I’ve had at least one job interview where I bumbled questions like a nervous wreck. But I KILLED my dissertation defence. Best people ever saw-level killed it. And now that it’s been six months and I’ve got some perspective on it, it’s time to share my pearls of wisdom so that you too can have the snake fight of your life.

(Caveat: I’m in the humanities, so this advice might not exactly apply to people in other fields. You know what the deal is in your discipline, so adapt as necessary.)

1. Put it in Context 

We hear about this mysterious, terrifying thing called the dissertation defence all the way through our PhDs, but without real context. It’s not the same as a qualifying exam, or even as a proposal defence. Is it like a chalk talk or a job talk? Is it really like McSweeney’s snake fight? And what do people mean by defend–is that just a euphemism for poking holes and grilling me until I cry?

As a humanities PhD, the best advice I got was to think of the defence as a meeting with a book publisher who you might want to publish your academic monograph, and who wants to know more about the project. And that editor (a.k.a. your committee) is going to ask you to explain and expand on your choices (that is, defend them) so that they can understand this project and its contribution to knowledge in your field. Why did you make the methodological and theoretical choices you did? Why did you choose the parameters you did for this study? What made you want to pursue this research in the first place? How is this work different from the work other people in your field are doing, and why? What’s the most important contribution to knowledge this research makes?

2. Know the Boundaries

The defence is, first and foremost, about the work your committee has on the table in front of them. It is about defending and justifying the choices you made in doing that research, and just that research. Don’t worry too much about questions that take you outside of your project. Those might come up, mostly in the context of how this research fits into and contributes to your field more broadly, but 90% of your discussion is going to be about the work you did and how and why you did it the way you did. Focus your preparation on your dissertation–on knowing it well, on being able to explain and justify your choices, on being able to identify its limits–and not on trying to know everything about your field that an examiner could possibly ask you.

3. Set the Terms 

In many fields, an opening presentation at the defence is mandatory. In some, like mine, it’s optional. Do one. The opening presentation is your opportunity to set the terms of discussion in your defence, to frame the conversation in a way that works for you. Your examiners, especially your external, will have questions prepared but the presentation is a golden opportunity to set the terms of engagement. Preparing the opening talk is also one of the best ways to prepare for the defence, because it forces you to see and talk about the big picture of your project before you delve into the nitty-gritty of preparing answers to specific questions.

If you’re working in a lab, ask your recently graduated labmates or the new postdoc if they would share their presentation. In the humanities, you might find a colleague who is willing to share their script (or slides, if they had them). I found this one a good starting point.

Another way you can set the terms of engagement for your defence is to have a say in where it happens. Because I worked in the Faculty of Graduate Studies at my university, I knew what rooms were typically used for defences, and I knew about ones that were available but rarely used and SO COOL. So, I decided to defend at Hogwarts, a.k.a. the York Room.

 

4. Know your Audience 

The questions your examiners are going to ask you don’t need to be a mystery. They are people with specific interests and biases. Happily, there’s lots of evidence out there–in the form of their scholarship and public writing–that can give you insight into what those are. Read a bunch of stuff written by your external examiner, and refresh yourself on the work of your committee members. Identify the places where their ideas conflict with yours, what is of significant interest to them that intersects with (or didn’t get much time in) your work, where your work significantly overlaps. And learn what you can about your external as a person–is s/he prickly or friendly? is s/he defensive or open to being challenged? what does she care about as a researcher? Given the size of our academic networks, there’s a good likelihood that you or your supervisor knows someone who knows your external well–talk to them!

5. Fill the Bank

This one is both the easiest and the hardest: find a useful list of common defence questions for your discipline, and prepare answers to them. Use what you’ve learned about your defence committee, and the framework you prepared in developing your opening presentation, to guide your answers. Don’t be afraid to research your answers a bit. And then review those answers a bunch before the defence. Make your labmate/partner/cat listen to you deliver those answers out loud. (I drove my husband a bit crazy with this, as I spent the weeks before my defence constantly monologuing about my research. But it worked!) You should also ask your supervisor and other committee members to share with you, to the extent that they can, the areas of your work on which you should focus your preparation.

Doing this works. There were almost no questions that I hadn’t anticipated in advance, and I pulled answers to some of the trickier ones almost verbatim from my mental bank of prepared responses. Those were the answers that most impressed my committee. The one I personally liked the best answered a challenging question from my supervisor about an unusual and often-denigrated approach I take in my research by pointing out, with specific examples, that her widely acclaimed work also sometimes takes the same approach, just without directly acknowledging it. My preparation and knowledge of my committee paid off–I was sure she was going to ask me some version of that question, and I prepared a strong answer that directly referenced her own scholarship.

6. Know to Stop

It’s two days before your defence. You’ve prepared your statement. You’ve anticipated the questions your committee will ask and you’ve practiced your answers. You feel confident in your ability to defend the choices you made in conducting this research.

Time to stop.

There’s nothing more you can do. It’s time to give your brain a rest and be confident in not only your preparation but in the years of work you did to get to this point.

7. Choose your Gear

You can, however, choose your clothes and the other things you’re going to bring. The defence outfit is crucial, and it must meet three key standards:

  • It must make you look like a colleague: like a fellow academic, not like a graduate student.
  • It must be utterly and totally comfortable. If any part of your outfit pinches or rubs or needs adjusting, chuck it–your clothes cannot be a distraction.
  • It must make you feel AWESOME.
I defended in the still-steamy part of September, and my power outfits always blend femme and more masculine pieces, so I wore a skirt, a sleeveless blouse, and a blazer. (No piece of clothing makes me feel more powerful than a blazer, and I wear one just about every day despite my work dress-code being rather more casual than that.) It ended up being too warm to wear the blazer during the defence, but I had strategically chosen the rest of my outfit so that it didn’t matter whether I wore it or not. I felt smart and powerful and comfortable and it was perfect.
Other things to bring:
  • a bottle of water
  • paper and a pen for writing down notes (you can also buy yourself a little time in answering questions by writing them down)
  • a copy of your dissertation with the key sections you might want to refer to — methods, results, a key experiment or analysis — flagged
  • anything else your department or supervisor tells you that you must bring — it can vary
  • a person or people (if you can and want to) — STEM defences are almost always public, but humanities ones are often in principle but not in practice. My partner attended my defence, and it was great. He’s been there for all the rest of the process, and I wanted him there for the last part. (One of my committee members also used to be his babysitter, so it was a bit of a reunion.)

8. Get your Mind Right

Mindset plays a major part in determining how you’re going to do during your defence. I knew that my external examiner had a reputation for being prickly. I knew that my supervisor was a superstar who can theorize me under the table any day. But I decided to frame the defence in my mind as a rare and valuable opportunity to spend a few hours discussing my research with six brilliant people who were going to help me make it better. I was going to be happy and excited to be there and delighted to answer questions that were going to help me think about my project more deeply.

I also — as you should — figured out where the room was, got there early, got everything set up, and was calm, cool, and collected by the time the rest of the committee arrived. The scientific validity of power poses is hotly contested, but they work for me, so I did a bunch. You do you.

9. Have Fun

All my preparation, practical and mental, totally worked. I had a TOTAL BLAST at my defence. As my committee came into the room and we started talking, the atmosphere became more and more celebratory–a tone I set. Between my determination to have a good time and my preparation, I got my brain to interpret all questions as helpful and supportive, even when they were hard and prickly, and answering them was no.big.deal. when I came at them from that place. You too can have a good time at your defence, if you’re prepared and you come at it as a discussion that’s intended to make you and your research better, not as a moment that’s intended to trip you up, or make you look stupid, or poke holes in your work.

10. Drink the Champagne

Oh, The Things You Can Do (with a PhD)!


Can you believe it’s already the middle of January? As we race full speed ahead to the end of another academic year, lots of soon-to-be finished graduate students are thinking about what comes next. My latest article for Chronicle Vitae shares some strategies for identifying the skills you develop during graduate school and translating them into the language of job postings, which can help you identify the kinds of jobs you can and might want to do:

Employers might not be looking for experts on 19th-Century French literature or CRISPR-Cas9. But they are looking for people who can speak and write effectively, process and communicate high volumes of complex information, create project plans and see them through, work with (and for) a wide variety of people, identify gaps (in knowledge, processes, understanding) and propose how to fix them. Ph.D.s learn how to do all of those things, and much more.

From the Archives: Things I Wish Someone Had Told Me During My PhD

The new school year is well underway, and so is the work I do with our Career Development Committee, a group of graduate students, postdocs, and research associates (who are very much like the STEM world’s version of contract academic faculty). The CDC’s mandate is to provide career development education that helps students and fellows find awesome non-academic careers, and they’re very good at it.

Their big fall event, Career Night, is happening tonight. They bring in 10 alumni or other graduate-trained people in their networks and then do what is in essence a series of short informational interviews. This time, we have everyone from an assistant provost to an academic acquisitions editor, with people from regulatory affairs, government policy, small-business ownership, research administration, and industry science also in the mix. A small group of students and fellows chat with one of the invitees for 25 minutes about their graduate training, their career path to the present, and what advice they have for others looking to move into a non-academic careers, and then they switch, and switch again.

By the end of the night, each person has had a chance to talk with three professionals, and to mingle and network with as many more as they want during the open part of the event. I wish I had access to a similar event during my PhD, and that I had gotten some of the good advice I know my students and fellows are going to get during Career Night. I know I’m not the only one, so here’s what I hope people learn tonight that might also be useful to you, or your students.

1. Be Realistic, and Open, About What Comes After Grad School

In the recent America-wide survey by Duke University graduate student Gregory Brennen, the data showed that 83% of graduate students started their PhD expecting to become a tenure-track professor. This is in stark contrast with the current data on how many PhDs actually end up in tenure track jobs—most estimates suggest that fewer than 50% of PhDs end up in any kind of academic job (that includes contract teaching) and that only between 15% and 25% ever secure tenure track jobs. Given this reality, graduate students need to prepare for, and embrace, the multitude of possibilities open to them after they complete their degrees. And they need to remember that being an academic is just a job, and that the are tons of interesting, fulfilling jobs doing other things. Mine is a good example.

2. Make Strategic Decisions About What You Do During Your Degree

 

As a friend kindly reminded me after I kept claiming that I got lucky in ending up in my job, we make our own luck. What seems random is actually, when you look back, a series of strategic decisions that lead to a whole host of post-degree opportunities. In my case, that strategic decision was to take a research assistantship in lieu of teaching during the fourth year of my PhD. While many PhD students fund their studies by teaching, and that’s a wonderful opportunity for people who are looking for careers in education, that may not be the best choice for people who are looking to do other things and need a different set of skills. These other opportunities are also extremely useful academically. Research or graduate assistantships are a big one to consider, as is doing an industry-partnered internship with Mitacs. So might be going on an international exchange, or selecting a graduate co-op program (which UBC now has in English, and Aimee tells me Waterloo is going to develop.) In my case, the research assistantship, researching graduate student professional development programs, let me develop the skills, knowledge, and experience that got me my job as a Research Officer.

3. Take Advantage of the Resources Available on Campus

As grad students, it’s easy to believe that most of the student support services available on campus are there for undergraduates, but that is emphatically not the case. There are a myriad of resources available on most campuses to help graduate students make the most of their degrees, to help them navigate the academic job market, or to help them transition out of academia or into an #alt-ac or #post-ac career. The Career Centre is a great place to start, and they can provide assistance with academic and non-academic job searches; Advancement can often connect grads with alumni in the fields they’re interested in; most Canadian universities now have graduate student professional development programs that offer a whole host of workshops and seminars; Mitacs offers a full suite of free transferable skills workshops; and many faculty members can, sometimes surprisingly, provide guidance and support in the search for jobs in and outside of the academy. It can be scary talking to faculty about plans to abandon the tenure track–believe me, I know–but the culture of silence around #alt-ac and #post-ac transition isn’t going to disappear until we all start talking about it.

4. Consider Creating A Shadow C.V.

One of the most important things graduate students can do to demonstrate to people outside of the academy that they have the needed skills is to have evidence that you’re capable of working outside of the academy. Especially for PhDs, the assumption that we’re overeducated and lacking in practical skills can be hard to overcome without demonstrated outside experience, and having at least one example of non-academic work experience to put in a resume can go a long way toward helping graduate students mentally connect the skills they’ve honed as a graduate students with those that crop up on job postings, and to help overcome the feeling that there’s nothing they’re qualified to do but be a professor. People have started calling experience developed alongside academic work, but not included in academic documents, a “shadow C.V.” In my case, I took a year off between my Master’s and my PhD to work in publishing and continued tutoring and editing throughout my degree. Other people I know have done summer placements, taken part-time jobs, done industry-partnered internships, or created web-based consulting and writing firms that allow them to work on their own time.

6. Learn How to Talk About Your Skills and Research to People Outside of Academia

Academese and English can sometimes seem like two different languages, and this is a major barrier to people with graduate degrees trying to make their qualifications and research make sense in contexts outside of the academy. It’s only natural. Communicating highly specialized research to non-academics isn’t a skill that most academics at any level practice all that much, other than the inevitable attempts to explain your work to your mother, or to someone you meet at a party. This is certainly changing, though. But opportunities to practice do exist, and graduate students should take advantage of them: compete in the Three Minute Thesis; take workshops on clear language writing; practice translating research into non-specialist language. Doing this can seem very non-intuitive for grad students, especially for those who have been academe for a long time, but once they learn how to do it, the relationship between what they do as academics and what shows up in job postings often becomes painfully obvious, as does the potential impact of their work outside the academy. This is, as a side benefit, and increasingly strong focus for many granting agencies, a number of which also now require clear-language or lay research summaries.

7. Think About What You Really Want to Do

Many PhD students are committed to being professors without actually knowing what the life, and the job, of a professor is really like. Our archives here at Hook & Eye can be pretty illuminating. Parts of it match up closely with the starry-eyed dream, but others definitely don’t. Meetings are endless and often frustrating. Grading is a slog. The pressure to publish and get stellar teaching evaluations can be debilitating. Students are disengaged. Service takes up far more time that people realize, and there’s never enough time for research and reflection. Graduate students should be figuring out what it is they really love about academia, and thinking about other jobs that might let them do those things more. The book So What Are You Going to Do with That? includes some fantastic exercises, ones that helped me realize that the things I love to do and am good at doing–coordinating, facilitating other people’s work and success, communications, writing, mentorship–are key components of all sorts of #alt-ac and #post-ac jobs, including my current one.

8. Think About What You Really Don’t Want to Do

As PhDs, we’re indoctrinated to believe that we should be willing to give up everything for a tenure track job. At some point, I shrugged that indoctrination off and made a list of the things that were more important to me than tenure: I didn’t want to move, wait until I was 40 to have kids, spend most of my life grading papers, spend multiple years as a contract professor, or write things that no one would ever read. For me, those were pretty convincing reasons to give up on the idea of becoming a professor, which requires total mobility, limits reproductive choices, requires far more teaching than research for most people, and mostly values journal and book publications that most people won’t read. The most important thing I had to convince myself of–and that we must tell graduate students, over and over–is that choosing where to live, desiring to have a child without worrying about compromising doctoral work or chances at tenure, refusing precarious employment, are totally legitimate life choices that are okay to voice aloud, despite the tendency of academia to suggest that if you aren’t willing to sacrifice your whole life, even your whole identity, to being an academic, you’re a second-class citizen. It broke my heart, in a good way, to have a whole gaggle of female Queen’s students come up to me after my talk and thank me for saying out loud that my desire to have kids before I was 35 was a factor in my decision making. It is for many people, and that’s something that should be discussed openly.

The other important part of this equation is to get graduate students talking to people they know in academia and outside, and find out from them what their jobs are really like. So long as we perpetuate the belief that academia is the only worthy place of employment, and that a professorship is the only truly fulfulling and engaging job, graduate students will ignore a whole host of career possibilities that might be a much better personal and professional fit.

9. Don’t Conflate Who You Are With What You Do

This is an obvious one, and a hard one to avoid–but if graduate students can avoid the trap of believing that they are academics, and that if they don’t get to continue to be academics they’ll be nothing, they’ll save themselves a horrible and painful identity crisis if the time comes that the professoriate becomes an unobtainable dream. A professorship is just a job. It is not a vocation, or an identity, and graduate students are so much more than the single career option the academy tells them is worthy.

10. Enjoy the Ride
 

Getting paid to read for comps. Taking classes totally outside of your area because you can. Auditing things purely for interest. Debating theory over far too much wine. Style-stalking your favourite professor. Choosing conferences based purely on location. These are some of the best parts of grad school, and they should be relished, and they often aren’t because PhDs are too busy conferencing and publishing and professionalizing and shadow-CVing and comparing themselves to all of the other PhDs they know. Yes, those things need to get done (minus the last one) but statistically speaking, the chances of getting to stay in academia on a permanent basis are slim. Enjoy the ride while it lasts.

Repost: The Trap of Perpetual Productivity

It’s hard to believe I’ve been writing for Hook & Eye for well over two and a half years now, having joined the team in January of 2014. Sometimes I go back through my old posts and, shockingly enough, find inspiration from them. I say to myself: you’re pretty wise, past me! Tonight, after having enjoyed a semi-proper weekend doing weekend things (the extravagance!), including taking a long hike in the woods up the Hudson river with my partner, and now sitting at home facing a large stack of neglected papers and experiencing the dawning realization that a job app is due tomorrow…pulling out an old rant about the cult of perpetual productivity seems apropos.

After a tough week involving a lovely dose of strep throat and a major chapter deadline, I wanted to post a follow-up to Jana’s repost from last week, which was a vital reminder to “take the time for self-care.” The article to which she linked is indeed important as it opens up a conversation regarding the pervasive but often overlooked problem of mental health in academia. But while this Anonymous Academic is concerned with the pervasive “culture of acceptance” that encourages academics to keep silent about their own mental health issues, I’m concerned about the culture of guilt that disallows us from taking relaxing, enriching, non-academic-related mental health breaks. I want to know, that is, how exactly we unaccept the culture of acceptance.

As I’m now finally in the dissertation-writing stage, I’m finding this more than ever: with this behemoth of a paper looming over me, I am faced with a constant sense of having to be productive. Academics with families, I think, may have an easier time structuring their schedules, setting aside dedicated time for work and dedicated time for family; and they have a defined life outside of academia, giving them fulfillment and balance and perspective. But for a night owl and worrier like myself, who has spent the last seven weeks sans partner and even sans teaching, I feel like I am supposed to be working on my dissertation all the time.

There is a culture of guilt in academia that demands not only that we churn out articles and research at an alarming rate, taking few breaks, but also that when we do take breaks, those breaks be designed to make us more productive. I so often hear academics guiltily confessing that they ended up watching TV instead of working (at like 9 pm at night), or posting statuses akin to “this chocolate bar with help me work, right?” Or reminders that breaks are important because they’ll help us work that much harder when we get back to it. Why does everything we do–even the breaks we take–have to hinge around how productive we are? Why can’t we eat a chocolate bar and just enjoy it for its own sake? How do we learn, that is, to structure our time such that our breaks do help us establish more generative work-time, without falling into the trap of perpetual productivity? Especially during a time when our futures are precarious and we non-tenured must learn to accept that academia may not always be our home, it is more important than ever that we cultivate lives and passions outside of the ivory tower (though the catch 22 is that this is not always possible due to the very nature and structure of the system).

I recently tried to take a full day off, the first in weeks and weeks. I visited the Armory Show, located inside a massive passenger ship terminal on Piers 92 and 94 on the Hudson River. I saw so much art that challenged me or confused me or made me think (and I also marveled at the fact that I was in a place where, if I had thousands of dollars to spare, I could feasibly purchase a Pablo Picasso or a Kandinsky. And have it in my home.) I tried, readers, to relax, and breathe, and take time for myself. But I have to tell you, fighting back my own guilt at doing something entirely unrelated to my dissertation was really, really hard.

We’re Asking the Wrong Questions About PhDs – or Rather, We Aren’t Asking Them Any Questions at All

When I interviewed for my current job we got onto the topic of alumni data tracking. My program had an exit survey on their website, one that suggested they were collecting contact information and checking in with PhDs in the years after they’d left our institution to see how and what they were doing. (It turns out that no one knew the form was there, and it hadn’t been used in many years.) We then got to talking about program evaluation, one of my favourite subjects, and about how we could start assessing if the professional and career development work we were doing–if they hired me–was having any effect on the post-PhD lives of our graduate students and postdocs.
“What we don’t need to do,” I argued in the interview, “is worry about the percentage of our alumni who get jobs after they leave us. In Canada, PhDs have the highest employment rates of any educational level. We know that PhDs get jobs after they graduate. What we don’t know is how hard it is to find those jobs, how long it takes, if those jobs are fulfilling and pay well and use the skills we’ve worked to help them acquire. We don’t know if the work we do teaching people how to develop their careers and transition into new fields works. The success of our programs can only be measured by our success in helping with all of those other things, because we can’t take credit for PhD employment rates. They’re great without us.” 
That employment data wasn’t what we needed, that we had it already and it told us something promising but frustratingly incomplete, was a bit of a revelation to the people who would become my new team, just as it is to the conference panels and PhDs and graduate chairs with whom I often share this bit of information. It shouldn’t be a surprise–this is Statistics Canada data, after all, there for anyone to find and analyze (and, with the reinstatement of the long form census, being collected once again). But my organization is clearly not the only one to still think that employment data is the place we need to start in understanding the lives of our PhD alumni and the value of our programs, academic and otherwise. As Gary McDowell writes in Science this week, higher ed is still furiously mining for what he calls the fool’s gold of PhD employment data. And what they find is fool’s gold not only because it doesn’t have much value, but also because it looks shiny but is tarnished at heart. In the US, the Survey of Earned Doctorates and Survey of Doctorate Recipients stands in for the StatsCan data that we tend to use up here, and like the StatsCan data, it tells us only so much. It tells us that PhDs are employed, and roughly where. But it doesn’t tell us anything about the quality or nature of employment that PhDs are finding, and that is ultimately what we really need to know. 
As an alternative to census data, the other popular approach at the moment is the old “let’s Google it,” and that’s the approach taken by HEQCO,* the Chronicle Vitae Academic Job Tracker project, and the American Historical Association. It’s not a bad approach when done carefully and well, as it at least does allow us to see what specific jobs people in different disciplines are ending up and, if we have things like CV data, the path they took to get there. The better studies, like the AHA and Chronicle Vitae projects (both, not coincidentally, run by Lilli Research Group), limit their Googling to sources that are arguably accurate and verifiable.** But people lie on the internet all the time, or job titles are misleading (is that Assistant Professorship a visiting or a tenure-track one? No way to know from your vague university bio, and no one has bothered to ask you), or people just can’t be found (this is especially true for people who move into non-academic employment).
And these data-collection exercises for the most part still don’t tell us what we really need to know (or at least what I really want to know): What kind–in qualitative terms–of employment are PhDs finding? What was it like finding a job? How long did it take? How much did you make in that first job? Did it use the skills you gained in your PhD? How long did it take you to get your first raise? To get promoted? Did you do any career development workshops in your PhD? Did they make you feel more confident in embarking on your post-degree job search? What is your employer’s perspective on hiring PhDs? And for those of us who work in graduate careers, professional development, support, graduate program reform: is our work doing anything? Are we helping people minimize the transition time between PhD and enjoyable, valuable employment that makes use of their skills? Are we reducing the emotional whiplash of being thrust out of the academy and into the non-academic working world? Do people feel confident in their ability to identify and deploy the skills they’ve learned in the classroom and the lab, in our seminars and in their own work to broaden and deepen their skill-sets? Are we doing anything at all? The TRaCE project running out of McGill University is taking steps in this direction, but major issues have already been raised with the validity of its approach and the data that comes out of it.*** 
The problem with seeking answers to these questions is the difficulty of reaching those who can answer them, and then making sense of those answers. Googling someone is easy. Reaching them by email or phone to ask those questions we want answered is far harder. It takes person-power and time and more money than any of us as individual organizations have. It also takes the buy-in of our PhDs, sometimes long after they’ve left our organizations, and that’s the place where these exercises often fail. Figuring out a baseline against which to measure our efforts is perhaps just as difficult–how hard was it to find a good post-PhD job before we started offering graduate career development programs? Did our PhDs find good jobs faster after we launched that internship program? How do we qualify or quantify what “easier” or “better” or “better aligned to my skills” looks like? How do we adjust for the fact that PhDs and postdocs, who are underpaid and undervalued during their training, might think a first job a godsend that years later seems like ill-fitting, underpaid grunt-work?
We don’t need more employment data. Quantitative data is not what we need. Perhaps my humanist is showing, despite the fact that I now work almost exclusively with STEM researchers, but this is a qualitative research problem. What we do need is contact information and to talk to our PhD holders–actually talk to them, systematically and en masse so that our data is comprehensive and valid and comparable against that useful but incomplete quantitative data–and ask them those questions I noted above. I wish someone had called me up and asked me these a couple of years after I took my first post-PhD job. I could have told them a lot. Instead, I use my experience–and that of the PhDs I talk to, every day, at work and online–to try to do more, and do better. Still, that’s anecdote, not data. We’re never going to be able to do our best in helping PhDs to find well-paying, engaging places to put their knowledge and skills to work in the world if we don’t start asking a whole lot of people the right questions. And start figuring out how to do that in a way that’s sustainable.
I’m in the midst of scoping out just this kind of project to be undertaken by the centre in which I work, and we’re hopeful that, if we’re smart and careful, we can come up with a model for PhD data collection that goes beyond the quantitative, and that uses qualitative data and its analysis not just to inform the work we do locally, but also to inform real change in how we go about the business of graduate and postdoctoral training more broadly. It’s early days yet, but stay tuned.

When In Doubt, Buy Office Supplies (or, I Got My PhD)

I spent Saturday morning swimming in a soupy blend of emotion and leftover adrenaline. I don’t think I spoke much. Mostly I just read the Black Panther comic my husband had bought for me earlier that week, curled up in my favourite living room chair, and exclaimed quietly every time our eyes met: “I did a thing!”

I did. I did a thing. I did a big thing.

I got my PhD.

I’ve been so grateful for the family and friends who wanted to hear the story of the defense, because telling the story over again has let me consolidate in my mind what is a genuinely treasurable memory, one that has already become a touchstone. My defense was a joyful, fun, challenging, exciting, euphoria-inducing experience–probably the best single academic experience of my career. I had fun!  My committee made me think hard about how and why I’d done the work I had, and made me think more and differently about my place in the field. I shared in my post last week my worry that my day job has made me less effective as a researcher, but the defense proved that it was actually quite the opposite. Having a career in addition to my research practice has made me more confident, better spoken, more thoughtful, more stylish in my writing, less cautious and conventional in how I perform my research, far better able to articulate the value of my work, and far better able to craft a research practice that has real value in and out of the academy. I walked out of my defense completely over the moon, and that’s a feeling that I hope stays with me for a long time.

Aside from my happiness and pride at accomplishing something that was hard work and took a long time and demanded a lot, there are other things the PhD has given me that I don’t want to lose: the structure that having a large ongoing project lent to my days, the time I carved out for research and thinking and writing, the sense of purpose it lent me, the broad set of skills I developed, the confidence in my abilities, the friendships with fellow researchers and writers, and the deeper and more nuanced understanding of the world. I want to use this time, while I’m still on the high of having finished, to be intentional about crafting the next phase of my life, one that holds on to all of the space I’ve made for thinking and reading and writing. I also desperately want and need to reshape my life in ways that are more balanced than it has been recently, in ways that leave room for creativity, spontaneity, embodiment, exploration. Not having my dissertation fill so much of my time makes me both exhilarated by the possibility, and a little panicked about how best to make use of all the time not having it on my plate has opened up.

When in doubt, I buy office supplies. On Sunday, I picked up some lovely paper, some new highlighters, and more ink for a beautiful fountain pen I was gifted as a defense present. I sat down at the dining room table on Sunday afternoon, and I drew what I wanted my first week post-PhD to look like, the week that I’ve been dreaming about for years. I drew it with my new fountain pen, and beautiful paper, and all the colours of highlighter I could find. I took my time, and I thought about the things I wanted this first week to have, the week that would let me begin as I mean to go on.

And so I penned in time to read in the living room with Moose the cat. I drew in time to go running and swimming and yoga-ing, to remind myself that my body is something other than a living jar for my brain. I put in time to walk and listen to podcasts, time to cook, time to work on the novel I started at the beginning of the summer and some non-dissertation academic projects that are in the pipeline. I penned in time for relaxing and self-reflection and projects around the house. I drew in time with my husband, my family, my friends, and more time to sleep that I’ve allowed myself in a long time.

A very colourful week.

It’s a beautiful week, not just on paper but in practice. It’s a week that’s chock full of all the things that to me say a good life, one that’s full of intention and effort and expanding my horizons. On paper it looks a little like panic, a little like trying to keep the uncertainty of the future at bay by locking the present into tiny boxes, but to me it looks more like intention, like putting down on paper how I want my life to be, the life that the PhD gave me.

My external examiner mentioned that she’d read my “I quit” letter, and she jokingly told me that she thought that letter was a lie. She’s right. I didn’t actually quit. I’m just swimming in a different lane of the same pool. And the water’s fine.

Parenting in the PhD: Round II

It was with mixed feelings that I welcomed September and the onset of autumn this semester. Most years, with the yellow-tinged leaves and the crisp morning dew, I find myself back in the classroom, gearing up for a semester of teaching, welcoming new students, or training incoming RAs.

This year, I’m gearing up for a different kind of semester. I began the term filling out Employment Insurance (EI) forms instead of post-doctoral applications. Instead of stacks of papers mid-semester, I’ll be dealing with stacks of diapers. Instead of scheduled student hours, I’ll be at the beck and call of unscheduled infant cries: my second child is due to arrive at the end of October.

I’ve been thinking a lot about how different my experience of pregnancy, parental leave, and the academy has been on the second go-around.

Although both my children will be born during my PhD, the first arrived at the end of my first year, while I was funded through SSHRC. The second comes at the tail end of my program, as I submit my final chapter, re-write my introduction, and finish my conclusion. My funding has shifted from scholarship-based to teaching-based, and with that shift comes a complete alteration in how (and whether) I qualify for paid maternity and parental leave.

As it turns out, there are vastly different parental benefits available to graduate students at the University of Alberta depending on the source of their academic funding. Although every graduate student is permitted to take up to three years of unpaid parental leave, qualifying for paid leave depends on precisely how you are paid: 1) by scholarship, 2) as a Graduate Student Research/Teaching Assistant, or 3) as a Contract Academic Employee. Each of these options has various benefits and drawbacks, but most graduate students don’t actively chose which one they happen to qualify for. Much depends on how a particular department happens to be able to fund its graduate students, or the scholarships those graduate students themselves happen to win.

1) If you are paid by scholarship, paid parental leave depends on the scholarship itself. If you hold an external SSHRC doctoral award, you qualify for up to six months of paid parental leave at 100% of your stipend. If you hold other awards, it depends on that award. Surprisingly (to me, at least), many of these awards, both external to the university (like the prestigious Killam) or internal (like the now-defunct Dissertation Fellowship) offer no paid parental leave at all, meaning you would qualify for nothing if you happened to need parental or maternity leave while holding these awards.

2) If you are paid as an Research or Teaching Assistant (either full or part-time), you are permitted to take either: parental leave, which allows for 16 weeks of leave at 75% of your current stipend; or maternity leave at 100% of your stipend for six weeks, followed by 75% of your stipend for the remaining 10 weeks. 3) If you are paid as a Contract Academic Employee, you *may* qualify for leave through Employment Insurance as long as you meet the requirements (you must have worked 600 insured hours as a Contract Academic Employee in the previous 52 weeks, which is not typical for most graduate students). This would permit you to take a full year of paid leave, at 55% percent of your salary.

These, of course, are just the policies at my own university–the University of Alberta. While other Canadian universities operate on similar lines (ie: whether you qualify for leave depends on how you are paid), many actually don’t offer any paid leave at all for students supported through the university (ie: as a research or teaching assistant).

In my particular case, in this second pregnancy, I managed to qualify for a full year of leave through EI by working as a Contract Academic Employee. I got a bit lucky because I was offered an extra course through another department at my university, and a spring course through my own department (which I was not guaranteed with my particular funding package). This meant I was able to work the amount of insurable hours I needed to qualify, and it means that this time I will be taking a full year of paid leave, versus four months last time–which I felt was insufficient (in fact, I wasn’t able to find full-time childcare until well after my four months of official leave). There was, of course, a trade-off: I almost certainly slowed my progress to completion by taking on the additional teaching work.

How, then, might universities better support graduate students who become parents during the course of their degrees?

What I’d really love to see is a full year of paid parental leave for all graduate students, regardless of how they are paid. This would go a very long way in helping women to succeed in academia. However, given that even the best leave (SSHRC) only pays six months of leave (albeit at 100%), I feel like this is a good second choice. So, I’d love to see all graduate students qualify for six months of leave at 100%, regardless of their funding sources. It would also be great to see the qualifying period simply be based on the student’s previous four months of pay. This would negate the need for students to undertake more work (and thus slow their time to completion) simply in order to qualify.

Both these things would help reduce the academic opacity that seems to surround the decision to have a family, and make it more fair for students who happen to be on scholarships or funding packages that mean they don’t qualify. Really, all graduate students should be entitled to paid leave, regardless of the source of their funding.

Firsts and Lasts

This post marks a big last and a significant first for me. While I’ve been Hook & Eye’s de-facto alt-ac voice for the last few years, I’ve also continued, along with Boyda and Jana, to write about the trials and tribulations of grad school. My last trial–the big one, the defense–is happening tomorrow, and so this is my last post as a graduate student.

It’s been a long road since my “I quit” post back in the fall of 2013, when I took my first full-time academic administrative job. I’m in a different job now, one that has given me the time and mental space I needed to finish my dissertation. After a long period of uncertainty about the value of finishing my PhD, I’m still having a hard time believing that I’ve done it. I’m nervous about tomorrow, despite the many reassurances of friends and committee members. I spend most of my time developing professional skills curriculum, administering research funding, and writing policy, not reading theory or publishing articles. In doing my job, I’ve learned how to explain my research to people far outside my field. I’ve learned to feel confident walking into a room and sharing what I know regardless of who is in it. I’ve learned to identify what my research can tell us about the persistent gendered inequalities of Canadian academic and literary communities and how we might address them. But I’m nervous about being questioned by a room full of people who are full-time academics, who swim in those intellectual currents in a way that I no longer do. I’m also looking forward to spending time talking about a project that I care deeply about with smart people who care about my work, and about me. Now that the day is almost here, that alone seems like a pretty great reason to have committed to finishing my dissertation. The added credibility I’ll have at work is a nice bonus.

My defense tomorrow also means that this fall is a first for me.  It’s the first fall since I was four years old that I’m not going back to school. If I wasn’t already three years down a career path that I anticipate staying on, I might find facing this new beginning scary. But I went through the difficult transition that many PhDs who move into alt-ac and post-ac careers face back when I took my first administrative job. I’m instead looking forward to this first fall, and the year that follows, as a time to experiment with what life as a scholar-administrator could look like now that I can shape my research trajectory however I please.

I’m not really a new breed of researcher, although it sometimes feels like I am. Ever since the academy began producing more PhDs than it could employ–since always, basically–there have been those of us who have moved outside of the professoriate and yet continued to pursue research. The increasing casualization of the professoriate means that there are fewer and fewer people whose job it is to research, and more and more people like me who pursue research but make our money in other ways. We have the desire, the expertise, and the time to remain active researchers while we work in other careers. There’s great freedom in that, for the quest for tenure and grant funding as often blights research creativity and experimentation as it enhances it. I’m going to be using the blog this year to write through the process of crafting a research practice outside of the professoriate. At the same time, I’ll be writing through the process of crafting a life that makes space for multiple identities as administrator, researcher, creative writer, consultant, editor, cook, partner, and more.

Later this month I’ll be starting a new series of posts on transforming my dissertation into a book and live-blogging the process of getting it published. I’ll be continuing the alt-ac 101 series for people who are looking to move into non-professorial jobs or who advise people who are. I’ll also be writing about equity issues in and out of the academy, especially those relating to graduate studies and postdoctoral work. I’m also going to practice what I preach to my students about working to share our research beyond the bounds of the academy by blogging about my dissertation, especially the parts that look at gender bias and rape culture in Canadian literary and academic communities in the 1940s, 50s, and 60s.

Fighting Extra-Academic Burnout

Are you experiencing scholar date burnout?

Let me explain. A recent article posted in Inside Higher Ed asks scholars experiencing such burnout symptoms as physical exhaustion, depression and/or anxiety, and cynicism to take themselves on weekly scholar dates. Grad school, particularly the dissertation-writing phase of grad school, can be painfully isolating. Often students take on off-campus jobs or teach at a different school, some prefer the hermitic lifestyle of working at home, others (like me) function as nomads, drifting from library to library for fresh thrills and different local coffee blends. As I blogged about almost a year ago, writing a dissertation is as much a psychological battle as it is an intellectual one, and depression and anxiety are endemic to academic departments: something many of us deal with, but few of us talk about, because to admit mental distress is to admit weakness and inadequacy and inability to cope with the ubiquitous strains of the profession. It’s survival of the fittest, and in this climate, “survival” might mean living out the rest of one’s life as an underpaid and overworked contingent laborer ( I am a jaded sixth year PhD student, hi!).

With the intellectual and social paucity of late stages of the PhD, what Heather VanMouwerik calls “scholar dates” sound like great ideas: these are outings, such as movie nights, park wanders, cultural experiences, and cafe lingers, that feed our intellectual and creative sides. I appreciate that the Scholar Date seems here to meet the Self Date; VanMouwerik instructs us to “Do it alone” rather than feeling distracted with the needs and experiences of other people. The concept of selfdating transforms hanging out alone and feeling sorry for yourself into a deliberate, intentional, and personally rewarding choice. Friends have told me that just giving alone-time this label seems to make a difference.

What makes self dates and scholar dates so useful is that my only obligation is to myself, and this time becomes sacred and restorative. But I’ve found that there’s somewhat of a slippery slope between scholar-dating and succumbing to professional obligations. Lately, I’ve possibly been overcompensating for the aforementioned mental health stuff by overloading my schedule with what might clumsily be categorized as scholar dates (all conducted of my own volition, though not always alone). There is a point at which the scholar date becomes avoidance, and I fear I’m hovering around that threshold.

It’s easy for this to happen, because scholar dates are often justifiably important, and I am lucky enough to live in a city that affords ample opportunity for intellectual engagement through cultural field trips. In the last week alone, for example, I travelled out of the city to sit in on a friend’s lecture on King Lear and the public humanities; I saw Henry IV Part I at BAM after a sick friend offered me a free ticket; and I spent an afternoon at an academic conference unrelated to my dissertation. I did a minor in early modern drama, right? So I should definitely keep up with the Renaissance drama scene in New York (see also: Revelation Readings at Red Bull theatre). I’m trying to develop a DH profile, right? So these sessions on teaching with digital maps are totally necessary to my intellectual development. And then: I care about maintaining a vibrant intellectual community in my department, right? I should definitely attend this talk on racial politics, since I can tell they are worried about getting bodies in seats. I care about the future wellbeing of this country and entire world, right? I should probably attend this Bernie Sanders rally and perhaps sign up to do some phone-banking and flyering and house calls and omg, possibly the whole election that I can’t vote in rests on my shoulders!! Oh, yeah, and I should go for a solo walk to the river because it’s spring and whatnot. And, and….the list goes on.

I know that I may not be able to remain in academia forever, and if I don’t (or even if I do), I don’t want to look back on my time in New York City and remember only the uncomfortable subway encounters and cockroaches creeping out from underneath my fridge. Not only do my extracurricular scholarly activities feed into my constellation of personal and scholarly interests, but they also mitigate anxiety and despair about the future, and help connect me with various local communities. But even these activities can be taken too far and become more about obligations and people-pleasing than self care.

Let’s not forget that as women, we face pressure to say yes to everything–to live full, rich, balanced, lives, to spring out of bed and go to sunrise yoga classes before heading to campus, to stay connected with our friends and communities while keeping on top of our research, remaining available to students, and grading dozens of final papers. Yeah. That’s not happening. Let’s let slumptimes be slumptimes, and learn when to say no to even those activities that might help expand our intellectual development in new ways. Let’s learn how to view “no” as not only a perfectly acceptable but also commendable choice. The bernout is real.

How Did I Not Notice I’d Become a Writer?

As I do every weekday morning, I’m sitting at my little desk tucked into the corner of our spare room, writing. I wake up at 5:30 and write until about 7:45, and then I get ready for work. The soundtrack to my writing is my partner’s deep breathing upstairs–he won’t wake up for awhile yet–and my cat loudly wondering why I don’t come play with him. I don’t have to worry about any small people waking up to disrupt me. I just have to worry about getting my butt in the chair and my hands on the keyboard. 

I don’t keep track of how many pages I produce per day, but I do keep track of how many days of the week my butt gets in the chair. I’m a religious (albeit very idiosyncratic) bullet journaller, and writing is the first thing on my list every day. And that consistency is really helpful. In the last two weeks, I’ve submitted a chapter, gotten back (and completed) the revisions on another, and made progress on a third. My committee is really happy with the project, and so am I. I look forward to my writing dates with myself. Despite being entirely happy with my choice to become an academic administrator rather than an academic, I love the two hours a day that I get to be a researcher and a writer. I also love that that time has finite limits, and I think that’s what makes the difference. 
I am, you see, the person who is a grad dean’s time-to-completion nightmare. I started my PhD in 2008, and I won’t be done with it until the spring of 2016. I’ve been working on it part-time since 2013, yes, but I also finished writing my dissertation proposal in November 2011 and it took me until the spring of 2015 to get halfway done with the actual dissertation. Writing used to be torturous. I must have rewritten the second section of my first chapter fifteen times, easily. Writing was either so slow that I felt like someone was pulling words out of me with pliers, or so dammed up that the words stayed inside where they’d prick and niggle and reduce me to a quavering ball of anxiety and fear. I didn’t know how to learn how to write in a new style–as my dissertation is not modelled on others in my field–or for a new audience–for despite repeated warnings not to, I’m writing the book, not just the dissertation–without trying and failing hundreds of times. I almost gave up, so many times. I didn’t much mourn the loss of my writing time when my first admin job required hours and hours of overtime. I devoted dozens of pages of writing just to figuring out why I was writing at all. 
I can’t tell you exactly when that changed. Finding a different supervisor, one whose approach and interests better match what my research looks like now, helped a lot. Finally getting that second section right, and then knowing how to move forward, made a difference. Figuring out why I was writing, the reasons besides getting a PhD, broke down barriers. Without realizing it, I started to think of myself as a writer. I sit down every day and tell stories about being a woman writer in Canada in the 1950s, about how other people also figured out how to become people who have to sit down and create something out of words every day, and about what happened when they did. They didn’t find it easy either. They doubted, and nearly quit, and mourned their lack of community, and assumed that their most recent bout of writer’s block would last forever and they would never write again. They also went on to win the big awards and sell thousands of books and change the way we think about writing and the world. I’ve started to write down ideas for my next project, because these hours at my desk have become precious to me and I won’t give them up even once this is done. 
Doing a PhD–deciding to finish the PhD that I started, more accurately–has been one of the most difficult things I’ve ever done. Not in and of itself, but in how it made me get in my own way until I learned how to get out of it. Somewhere in there, I became a writer. The dark days seem very distant now, and I’m not precisely grateful for them, but it’s the best word I can think of. It was hard, but necessary, to stop defining myself as an academic when I decided to move into administration. It felt like giving something up. But I have more, am more, now. I have a job I love, and I became a writer.
